These terms govern your use of TradeFlow. By creating an account, you agree to them. If you're signing up on behalf of a business, you're confirming you have the authority to do so and that these terms apply to that business.
TradeFlow is software for running the admin side of a trade business — leads, quotes, invoices, and optional integrations with Gmail, Google Calendar, and Xero. It's a tool to help you manage your own business; it doesn't provide accounting, legal, or financial advice, and it doesn't replace a qualified accountant or advisor.
You're responsible for keeping your login details secure and for everything that happens under your account, including actions taken by any staff members you invite. If you invite a team member, you're responsible for removing their access when appropriate (for example, if they leave your business).
You own the data you enter into TradeFlow — your leads, customers, quotes, and invoices. We store and process it to provide the service to you, as described in our Privacy Policy. We won't use your business data for any purpose other than running TradeFlow for you.
You agree not to:
TradeFlow uses AI to help extract lead details from synced emails, to read supplier invoices, to draft suggested replies and reminders, and, where a photo is attached, to note anything relevant it can see. AI output is a convenience, not a guarantee — it can occasionally miss, misread, or misclassify a message, or get an amount or a job match wrong. Nothing drafted is sent, and no supplier cost is added to a job, until you review and confirm it. You're responsible for reviewing leads, drafts and amounts before relying on or sending them, and TradeFlow isn't liable for decisions made based on an AI misclassification, extraction error or drafting error.
Gmail, Google Calendar, and Xero are operated by their respective companies, not us. We're not responsible for their availability, changes to their services, or any issues that arise from them. Connecting these services is always optional and under your control — you can disconnect at any time from Settings.
TradeFlow may offer free and paid plans. Any fees that apply to your account will be clearly disclosed before you're charged. We'll give reasonable notice before any pricing change takes effect for existing customers.
You can stop using TradeFlow and close your account at any time. We may suspend or close an account that breaches these terms. On closure, we'll delete your business data as described in our Privacy Policy, except where we're required to retain something for legal reasons.
TradeFlow is provided on an "as is" and "as available" basis. We work to keep it reliable and accurate, but we don't guarantee it will be uninterrupted or error-free. To the extent permitted by law, TradeFlow isn't liable for indirect, incidental, or consequential damages arising from your use of the service, and our total liability for any claim is limited to the amount you've paid us in the 12 months before the claim arose.
We may update these terms from time to time. If we make material changes, we'll let you know by email or with a notice in the app before they take effect.
These terms are governed by the laws of New South Wales, Australia.
